What We Collect

We collect: information you give us through our forms (such as contact forms, discovery call bookings, and strategy session requests), including your name, practice name, email address, phone number, practice website, and location; the content of any message you send us; and technical and usage data collected with your consent through analytics and advertising tools, such as pages viewed, device and browser type, approximate location, and how you interact with the site.

How We Use It, and Our Lawful Basis

We use your form details to respond to your enquiry, prepare the growth strategy reports you asked for, and follow up about our services. The lawful basis is our legitimate interest in responding to enquiries and running our business, and, where you are becoming a client, the steps needed to enter into a contract. We use analytics and advertising data to understand and improve the site and to measure and target our marketing; the lawful basis for the cookies and similar technologies involved is your consent, which you give through our cookie banner and can withdraw at any time.

Cookies and Tracking

We use cookies and similar technologies, including Google Analytics 4, Google Tag Manager, Google Ads tag, and Meta Pixel. These only run after you consent through our banner, allowing us to track performance, measure conversions, and optimize user experience.

Who We Share It With

We do not sell your data. We share it only with service providers that process it on our behalf, under contract: Google (Tag Manager, Analytics, Google Ads), Meta Platforms (Pixel), Microsoft, Calendly (call booking), and our internal CRM systems. Some of these providers are based outside the UK; where data is transferred internationally it is protected by appropriate safeguards such as the UK extension to the EU-US Data Privacy Framework or standard contractual clauses.

The Dentalranking Growth System™

Alongside this website, we run the Dentalranking Growth System™, a patient acquisition system that helps our client dental practices manage patient enquiries, follow-ups, appointments, and marketing. When a practice uses our systems, we process the business and contact details it adds or that arrive through its own enquiry channels. For that patient and enquiry data, the practice is the controller and we act as its processor, following its instructions. A practice can ask us to export or delete its data at any time.

Connecting Your Calendars

Our booking tools let client practices connect their Google or Microsoft (Outlook) calendars so our scheduling tool can show accurate availability and book patient appointments. Connecting a calendar is completely optional and is always started by the practice through standard authentication screens. We only access the calendar of an account that has explicitly granted permission, and only to read free/busy times and write or cancel booked appointments. We never read the private details of your other calendar events, and we never use calendar data for advertising or profile building.

How Long We Keep Your Data

We keep enquiry data for as long as needed to respond and, where relevant, for the duration of our working relationship plus the period required for our legal and accounting obligations. You can ask us to delete your data at any time.

Your Rights

Under UK data protection law, you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to our processing, to data portability, and to withdraw consent at any time.
